The interesting question is not “which logo is nicer.” It is whether the PDF is allowed to leave the laptop to look nicer.

SmallPDF’s product shape

SmallPDF is a full online PDF product. That usually means an upload-based pipeline, a free tier with constraints, and subscriptions when you outgrow those constraints. E-sign and extra document features are part of why people pay. Check current plans on their site; this page will not freeze their pricing in amber.

If your company already bought SmallPDF, switching tools for a one-off compress is rarely worth the argument - unless the file is something you would not upload to any vendor without a BAA or DPA.

Designers and PMs often prefer SmallPDF because the UI is familiar and pretty. Engineers and anyone handling HR or legal PDFs often prefer not to upload. Those can be the same person on different days.

A workable rule: non-sensitive → whichever UI you finish faster. Sensitive → local or a contracted vendor, not a convenience upload.

Example: merging a close package

You have offer.pdf, equity.pdf, and benefits.pdf. You want one attachment. Merging on DevOkk keeps the packet on the device and preserves the order you choose. Merging on a cloud suite is faster only if you ignore the copy that now exists off-machine.

UI polish, extra document features, and a suite your company may already pay for. E-sign is in their world. Browser memory is in yours: a 400 MB scan can stall a tab. Encrypted PDFs may refuse to open locally. Those failures should send you to a contracted product, not to a third “free PDF” clone.
