Why ATS Software Rejects Your Resume PDF

The portal accepted the file. The status later says “incomplete,” or a recruiter emails that they “couldn’t read” the dates. ATS rejecting a resume PDF is rarely a conspiracy against your template. It is a parser that wanted a stream of text and got columns, icons, a screenshot of a Canva board, or a scan of a paper CV.

What the parser is trying to do
ATS products ingest a file, guess fields, and dump them into a database: name, email, employers, start/end dates, skills keywords. Guessing is regex and layout heuristics, not a careful read. Two columns become “the right column is the job title of the left column.” A skill bar labeled “Python ████░░” becomes noise. A heading that is only an icon becomes a missing Experience section.
They are not grading your design taste. They are filling forms. If the form is empty, some systems auto-reject. Others show a recruiter a blank profile while your pretty PDF sits unopened.
LinkedIn Easy Apply and email-to-a-person skip this path. Corporate “upload resume” on a career site usually does not.
The thirty-second test
- Open the PDF in a normal reader (not only the builder preview).
- Drag to select a whole bullet.
- Paste into Notepad or TextEdit.
If paste is empty, you have an image PDF (scan, html2canvas-style export, flattened Canva). Humans can still read it. Many ATS cannot.
If paste is jumbled (dates in the middle of a phone number, skills before your name), the layout is too clever. Simplify: one column, real headings in words (Experience, Education, Skills), no text in pictures.
If paste is clean and in order, the file is parser-food. Keyword stuffing is still a bad idea. Parsing success is not a hire.
Columns, tables, and “modern” templates
Two-column resumes look expensive. Parsers read left-to-right, top-to-bottom, or they follow PDF tag order that a designer never set. Sidebars of skills next to jobs are the classic scramble.
Tables for “skill / years” are another scramble. Use a comma-separated skills line.
Headers and footers that repeat on page 2 can become a second name field.

Images, photos, and skill bars
A headshot is expected in some markets and poison in others. For ATS it is extra pixels. For privacy it is a face in a vendor bucket if you used a cloud builder.
Skill bars and charts are not text. “Native French” in words parses. A pie chart does not.
Icons replacing the word “Experience” look tidy and remove the keyword the parser looks for. Write the word.
File types the portal never wanted
.pages, .odt, a Word file with macros, a password PDF, HEIC of a paper resume. Use PDF or DOCX as the posting asked. iPhone photos of paper: convert if you must - HEIC to JPG is the wrong class of job for a CV; type it. A 15 MB resume with a full-bleed photo fails size caps. PDF Compressor locally. If compression turns the page to mush, you needed a smaller photo, not a cloud “optimize.”
Canva, Figma, and “I exported PDF”
Design tools export what you saw: often paths and images. They can embed fonts or flatten. Flattened is pretty and mute. If you must use Canva for a creative role where the PDF is the portfolio, send that to a human. Keep a plain duplicate for Workday.

Keyword myths
Copying the job description verbatim looks like spam and still fails if the file has no text layer. Matching a few real skills you have is enough. Hidden white text is a 2012 trick and a disqualifier.
ATS is not Google Search. Stuffing “team player synergy” does not rank you. Missing the word “Experience” as a heading might.
A worked example: two-column creative PDF
You built a teal sidebar with icons. Greenhouse extract: name blank, one job dated 2020–present overlapping a degree. Recruiter sees a skeleton profile and skips.
Fix: single column, “Experience” as text, dates on the same line as the employer, export, run the select-and-paste test. Send the designed version as an extra attachment only if the posting allows it.
A worked example: scan of a paper CV
The office printer PDF is a picture. Portal: “unable to process.” Type it into Resume Builder or Word. Do not run OCR on a random site with your address on it. Are online PDF converters safe?.
Cloud “ATS score” websites
They want the file, then an email, then a score that is a keyword counter. You taught them you are job-hunting and where. Local paste test is free and quieter.
When the designed PDF is the right file
A hiring manager said “email me your CV.” A referral. A conference. Then design can help. Still keep contact as real text if you can. Email caps: Email attachment size limits. Compress locally.

Accessibility is a cousin of ATS
Screen-reader users also need text, not a JPEG of a resume. Image PDFs fail both. If you care about that audience (you should), a real text document wins twice.
PDF to PNG is for a preview image in a portfolio, not for the application upload.

Dates, locations, and “present”
Parsers love Jan 2021 – Present on one line next to the employer. They hate 2021 in a sidebar and current as an icon. Spell months or use ISO-ish 2021-01. Do not use a tilde or an em dash the extractor splits on unless you also keep a plain hyphen version in a text duplicate.
Remote roles: write Remote as text, not a pin icon. Location-only sidebars get concatenated onto the previous job.
PDFs that are actually Word
Some people rename .docx to .pdf. Portals sniff. Give the type they asked for. If they asked for PDF and your Word export-as-PDF still has a text layer, that is often the most parser-safe designed-enough file you can make without a career SaaS.
Recruiter forwards vs the career site
A recruiter who says “send me the PDF” is a human. The same company’s “apply here” button is the ATS. Send them the designed file and apply with the boring file if both paths exist. One file trying to be both is how you get a blank Greenhouse profile and a pretty email attachment nobody opened.

What is an ATS?
Applicant tracking software (Workday, Greenhouse, Lever, Taleo, and a long tail of HR suites). It stores applications and often extracts name, dates, and employers from the file you upload. It is not a hiring manager. It is not a promise that a pretty PDF will parse.
Will DevOkk’s resume PDF always pass ATS?
No builder can promise that. Resume Builder is a no-account layout tool. Many designed exports are visual pages (good for a human). Portals that expect selectable text may still prefer a simple Word or single-column text PDF. Test by selecting text in the exported file.
Why did the portal say my file was empty or unreadable?
Usually an image-only PDF, a scan, a password, a .pages file, or a two-column layout the parser scrambled. Open the PDF, try to highlight a sentence. If you cannot, the ATS cannot either.
Should I upload my resume to a ‘free ATS checker’ site?
That is another copy of your phone number and current employer. Prefer a local check: select text, paste into Notepad. What not to paste applies to career docs too.
Is a Canva resume bad?

Does compressing the PDF help ATS?
